Set Up and Assign Roles in Vendrix

The first step to setting up your Vendrix account is to create user Roles. Roles help determine the spending power for the card holders. Let’s walk through it.

Pro tip: Assigning roles at the time of user creation will eliminate the need to go back and edit the user later, saving you a step. Create roles first, thank us later.

Where do I create or edit a role?

Role Name & Description

The names and descriptions can reflect the departments of your company. For example, a construction company might have the following names:

  • Forman

  • Superintendent

  • Project Manager

  • Executives

  • Accounting

Can this role create budgets?

This field determines if this role can create a budget. This is for only creating budgets, it does not give permission to activate it.

Example - a field supervisor can create as many budgets for his team but the project manager will activate the approved budgets.

Maximum Transaction Amount

The highest amount that can be made in a single transaction

Can this role approve transactions?

This gives the power to approve transactions from others.

Example - a project manager can approve transactions from his team

Automatically split transactions that are less than 90% of purchase?

When the actual purchase amount is 90% or less than the planned purchase, Vendrix will automatically create a new purchase to the same merchant/category for the remaining amount.

Example - User creates a purchase for $100 to “The Home Depot” but only spends $70. Vendrix will create an additional purchase for $30 at “The Home Depot”.

Can this user assign their card to a budget? (auto expense)

This gives power to assign individuals to budgets.

Can this user update what budget(s) their card is assigned to? (auto expense)

The user will be able to change what budget their card is assigned to.
